Instructions for Presenters
Talks
Please construct your talk taking your allocated time into account: 25 min total (20 min talk + 5 min Q&A) for invited talks, 15 min total (12 min talk + 3 min Q&A) for contributed talks.
A timer and the session chairs will provide time warnings during the talks: For invited talks, when 5 min are left, when 2 min are left, and when time has expired and counts against Q&A time; for contributed talks, when 3 min are left, when 1 min is left, and when time has expired and counts against Q&A time.
Please upload you talk slide file no later than 7:30 AM PDT the day of your talk. Please see instructions below.
Presentations will be projected from a central computer set up in the venue. There will not be enough time to switch computers between different speakers.
Posters
The poster boards will accommodate a maximum poster size of 39 inches (100 cm) tall by 33 inches (85 cm) wide. The posters will be exhibited outside the venue, next to the registration table in the Cahill lobby and out on the Cahill patio (weather permitting). Posters will be up for 2 days in two different poster sessions during the workshop. You will be assigned to which session your poster will be up. You should try to put your poster up as early on the first day of your session as you can. The posters will be affixed to the easels with pushpins, which we will provide.
Poster presenters also have the option to have their poster, as a PDF, linked into the online list of posters as an electronic file. Please see instructions below. The files will remain linked into the online list for the duration of the workshop and in perpetuity. Presenters are free to opt out of having their poster online.
Finally, poster presenters will have an opportunity to present at one of the poster flash sessions. Each presenter will have 1 minute. The schedule for the flash talks will be provided in the agenda. The flash presentation should consist of, at most, a 1-slide summary/advertisement of your poster. Please follow the instructions below to upload your slide(s) no later than 7:30 AM PDT the day of your flash talk. Virtual poster presenters have the option of making a 1-minute video clip summarizing their poster -- they should submit the clip, along with their poster file, following the instructions below and before the start of the workshop. Presenters are free to opt out of a flash talk.
Uploading your presentation files
Presenters for both invited and contributed talks, as well as poster e-files and poster lightning talks, please upload your presentation files at our dedicated Box site (an invitation to the link will be sent separately to presenters).
- Please name your presentation file as "{YOUR FIRST INITIAL and YOUR LAST NAME}_rapid2026.[file extension]", where "file extension" refers to your presentation software (pptx, pdf, etc.).
- The recommended file size is less than 50 MB. Please let us know if your presentation file is larger than this.
- Please upload your file no later than 7:30 AM PDT the day of your presentation.
Please do not hesitate to let us know if you encounter any difficulties preparing and uploading your presentation file, at rapid2026@ipac.caltech.edu.
All talks will nominally be uploaded to the workshop YouTube channel (link TBD) after the conference. We will also link the most recent version of your slides to the agenda at that time. Please provide us with consent for your presentation appearing on YouTube and on the workshop website by completing this form, either as a PDF or as a Word doc file. Please email the signed form to us at rapid2026@ipac.caltech.edu or give us a hardcopy of the signed form when you check in at the workshop registration desk. (It is certainly acceptable to refuse consent; please let us know.)
